Many real estate businesses tell us the same thing: “We get leads, but they don’t buy.” In most cases the problem is not the leads themselves. It is what happens after the enquiry arrives. A clear conversion process can double or triple the number of sales you get from the same marketing budget.
Step 1: Respond within five minutes
The faster you reply, the more likely you are to have a conversation. Set up instant automated replies on WhatsApp and email that thank the prospect, share the brochure and ask one or two qualifying questions.
Step 2: Qualify early and kindly
Find out what the buyer wants, when they plan to buy and what budget or payment plan works for them. Qualifying is not about rejecting people. It is about matching them with the right unit and the right salesperson.
Step 3: Get them to an inspection
Inspections, physical or virtual, are where interest becomes intent. Offer specific time slots, send reminders the day before and the morning of, and arrange transport or a video link where needed.
Step 4: Follow up after the inspection
Send a summary of what they saw, the exact price and payment schedule for their preferred unit, and a clear deadline for any offer or discount. Answer objections about title, timelines and finishing in writing.
Step 5: Make paying easy
Provide clear account details, receipts and a written allocation process. Every point of confusion is a reason to delay.
Step 6: Nurture the “not yet” leads
Most leads will not buy this month. Keep them warm with progress updates, new phase launches and buyer stories. Many will return when the timing is right.
Measure every stage
Track how many leads become conversations, inspections and sales. When you know where people drop off, you know what to fix. In our Grace Smart Shelters case study, a disciplined follow-up process turned 90 leads into 20 inspections and 8 sales.
